Managing Vendors / Suppliers

The Vendor management systems operates in the same easy to use interface as our CAMS system, but can be set up in parallel or independently. Aimed at the Purchasing / buying arm of businesses who need to procure goods and services from a range of suppliers and where a selection purchasing needs to be done by regional or international offices, our Vendor Management System lets offices pool purchasing information, and conduct the key functions of purchasing, and supplier / vendor assessment collaboratively.

Tracking and Sharing Vendor Information:

Every vendor or supplier can be added to the system from the businesses and offices which handle purchasing or buying. This allows an international database of suppliers to be created. This means that users in offices can start to gather a global perspective on suppliers and the value that they offer.

Identifying Vendor Contacts:

Often making contact with the exact person in the suppliers business depending on your requirements is essential. This module enables your businesses or offices to track your suppliers staff so that this information can be used across your business to facilitate meetings, or calls.

Managing Vendor Product Information:

As well as knowing who your vendors / suppliers are, the VMS can also keep track of your suppliers products. Now there is the option for any of your offices to find a supplier who is already approved within the business. It's also possible to compare prices of products by supplier and an optional addon could continually update currency conversions to give improved costs to purchase as currencies fluctuate.

Recording Meetings, Visits and Calls to Vendors:

Each buyer across the business can produce a report on their vendor meetings, and these reports can be accessed centrally or remotely to remind buyers and vendors of the history of the relationship and to carry outstanding issues forward to the next meeting agenda.

Recording Vendor Audits:

Some visits to Vendors will be for Auditing purposes. Recording the results of audits makes it easier to track price and standards changes to products.

Running Alternative Products Projects:

From time to time there will be a need to search out a vendor / supplier for a new product or an alternative supplier for a current product. This module allows a project to be created and tracked as you examine the offerings of alternative suppliers.

CAMS like comprehensive reporting:

As with CAMS your buyers can create a run a wide range of reports for example:

• How many suppliers do we have in Belgium or China?

• How many suppliers provide product X (and who are they?)

• What rage of costs do we incur in buying product X (by vendor)

• How is our relationship with vendor Y

• When are the next vendor audits due for our buyer in France or Singapore

Multi level secure 0n-line system:

As with CAMS the VMS is installed on AES's secure internet servers and users also have levels of access depending on their requirements. AES provides a combined DBMS maintenance and help desk package rolled into the annual support costs.

Optional Web Service adaptors available for business system integration:

If required AES can provide a Web Services extension to the VMS to talk with any of your WS equipped in-house systems so that data can be transferred for use in your current applications.
